Call for Event Coordinator

The Community Development Project at the Urban Justice Center (CDP), Hester Street Collaborative (HSC), and Center for Urban Pedagogy (CUP) are seeking an Event Coordinator to help us produce a day-long conference in late May/early June, 2013 entitled Partnering for Impact: Innovative Collaborations for Effective Organizing. This is a part-time, contract-based consultant position, and will take place from December 2012 through June/July 2013. 

The goal of the conference is to share tools and best practices for innovative collaborations between resource groups and grassroots community organizations. The conference will include panel discussions and hand-on workshops, and conclude with a reception and exhibition of example projects. The conference audience will be grassroots organizations, resource partners (such as art, design, research, and policy organizations), funders, and others interested in innovative organizing work. We 
expect attendance of 100 to 200 for the conference and the reception and exhibit opening. We are seeking a highly organized individual to help us produce the conference. The Event Coordinator will be responsible for:

  • - helping conduct outreach and marketing to potential exhibitors, panelists, attendees, and 
funders 

    - fielding questions from the public and press about the conference and exhibit
    - accepting applications and communicating with applicants
    - coordinating the applicant selection process, including scheduling the meeting of the selection 
jury and preparing materials for their review
    - coordinating food, space, and technology for the conference and the exhibit
    - accepting registrations (via an online client such as Eventbrite) 
    - overseeing and coordinating production of materials for the exhibit and conference
    - accepting presentation materials and preparing technology for presentations at event
    - overseeing the event, including on-site check-in, event set-up, food, and management of other 
event staff (which may include volunteers)
    - following up with participant surveys, event documentation and reporting, and other post-event 
duties
We are looking for a candidate who is extremely detail-oriented with excellent verbal and written communication skills—friendly phone manner a must. Previous experience coordinating events is desirable, as are experience with Eventbrite (or other similar services), Microsoft Office programs, and Adobe Creative Suite.

Position dates are flexible, based on candidate’s availability, but we anticipate a start date in early January. This position pays a stipend of $5,000 over the course of the project.
